Time recording is not a new topic in Germany. In many industries, employers have had to record their employees' working hours for years, and time recording is not a new concept, especially for mini-jobbers and temporary workers, who are usually paid according to the hours worked. That is why there are many different solutions for time recording systems on the market. Whether digital, electronic, with pen and paper or as an Excel spreadsheet. Each solution has its own advantages and disadvantages and cost factors.
1. Paper and pen
The classic and probably oldest version of working time recording is to record it on so-called time sheets. The start and end of the work shift are noted by hand on a piece of paper, usually with notes on the break times. At the end of a working day, week or month, these sheets are collected and evaluated by hand. It is not uncommon for times to be rounded up generously, sheets to be filled out incorrectly or to get lost. The follow-up to these time sheets also involves a lot of bureaucracy, costs time and money, and is quite prone to errors. However, it has the advantage that there are no acquisition costs, apart from those for paper and pen.
2. Time tracking with Excel tables
In order to save on paperwork, many companies use Excel tables. There are many templates for this on the Internet, most of which are free. Using various formulas, the program can automatically add up the hours worked, subtract breaks and even create a monthly overview. But here too, time recording depends on the correctness of the entry. Hours can be rounded, breaks omitted and entries forgotten. The system archives the recorded times and creates an automatic hourly overview at the end of the month. This saves employers extra bureaucratic work and allows them to be sure that the times are adequate.
However, these systems are not only very expensive, but also not suitable for field work. And the popular home office is not covered by the expensive chip terminals either. Here, pen and paper must still be used. In addition, these devices are not error-free. Maintenance work is usually very time-consuming and expensive. A device that breaks down therefore often means a return to pen and paper.
4. Digital time recording systems via app
Digital time recording via app is therefore becoming increasingly popular, particularly in companies that rely on field service and assembly work. Employees can clock in at the start and end of work using their mobile phone or a fixed tablet terminal in the office, have break times recorded and thus ensure that all times are recorded correctly. In field service and in the home office, the app also enables recording offline.
The advantage of this solution, in addition to the possibility of mobile recording and an automatic time sheet at the end of the month, are functions that reduce the additional bureaucratic workload, especially in project management. For example, apps such as clockin can be used to record travel times and project-related times in addition to classic working hours. This not only makes work in the office easier, but also provides good evidence and data for realistic customer invoices. Interfaces to other programs such as lexoffice or DATEV can also make follow-up work much easier.
